【 Summary 】

ANA Foods Co., Ltd. was established in 1955 as an importer of Taiwanese bananas, and in 2014 took over the fresh and processed food business of ANA Trading Co.
The company did not have much time before the deadline to respond to the mandatory electronic storage of information under the revised Electronic Bookkeeping Law. In addition, as a response to the new coronavirus, the company was actively promoting remote work within the company. However, since most of the national tax-related documents such as invoices and delivery slips received by the accounting department were on paper, it was difficult to promote remote work in the finance department. Therefore, the company decided to introduce an invoice management service as a priority issue to comply with laws and regulations and to promote remote work by the accounting department and began to study the possibility of introducing such a service.
The most important factor was whether or not all documents, including national tax-related documents other than invoices, could be digitized. The company compared services other than TOKIUM Invoice, but most of them were capable of digitizing only invoices and not other documents. The majority of invoice digitization services use OCR to read data, which is 80% accurate, so a simple calculation shows that data for 140 companies is incorrect, and in the end, all data needs to be checked. In this respect, TOKIUM Invoice can manually input data from handwritten invoices, which is a great advantage for a company like a company with many handwritten invoices. Therefore, the company decided to introduce TOKIUM Invoice.
To facilitate smooth internal operations, the company will divide the operation into three phases. The first phase will deal with invoices already received electronically, the second phase will digitize paper invoices, and the third phase will digitize all documents other than invoices, including national tax-related documents.
The electronic filing system will also eliminate the cost of mailing invoices from each site to the head office and the accompanying need for employees to come to the office, resulting in significant cost reductions. The paperless system is also expected to make a significant contribution to environmental friendliness.
